What can I add to Axxio Portal?

At Axxio Portal you can add normal content as in a website and on top of this you can add Tableau dashboards, Google Files, Microsoft Office files, Images, Google Drive files and PDFs.  All in all, everything your organisation uses and wants to share with either staff, management or clients.

How do I add a Tableau Report?

After you add your Tableau Instance (click here for instructions), go to Reports.

Click on the + sign of Reports.

From the Report Settings give your report an instructive name and description, choose the owner of the report and select Tableau Report as the type of your report.

Ensure that you select the Tableau Instance where this report sits and enter the URL of the dashboard. This is the URL that appears on your browser when accessing the dashboard from the server.

Finally, there a few more things that you can customize, for example its size and what type and where the visualisation controls will appear.

You can give access to certain groups from the Permissions tab. When you are done, click Add Report from the top-right corner for your report to be added to the Portal. Then go to either a new page or modify an existing one. and open the visual builder. Drag the Axxio Report to the position that you want to place it and double-click on the report that you’ve created. Your Tableau report is added to your portal.

How can I add a Google Drive file?

After you add your Google Drive Instance (click here for instructions), go to Reports.

Click on the + sign of Reports.

From the Report Settings give your report an instructive name and description, choose the owner of the report, select Google Drive Files as the type of your report and select your Google Drive Instance. Click Add Report from the right-top corner.

Then click on Browse to add your Google Drive file. A pop-up window will appear asking you to log in using your google account.

Find the file that you want to add and select it. You can also specify its width and height. Then click on Update Workbook.

You can give access to certain groups from the Permissions tab. When you are done, click Add Report from the top-right corner for your report to be added to the Portal. Then go to either a new page or modify an existing one. and open the visual builder. Drag the Axxio Report to the position that you want to place it and double-click on the report that you’ve created. Your Google Drive File has been added to your portal!

How can I add a Google File?

Click on the + sign of Reports.

From the Report Settings give your report an instructive name and description, choose the owner of the report and select Google Files as the type of your report.

If your file is available on the web select the Attachment Type to be External URL and past the Google Link in the relevant Link

If you have the embedding code generated from Google select the Attachment Type to be Embedding Code and paste those lines in the Google Embed field.

Drag the Axxio Report to the position that you want to place it and double-click on the report that you’ve created. Your Google File has been added to your portal!

How can I add a MS Office file?

Go to Reports tab from the top menu and click on the + sign of Reports.

From the Report Settings give your report an instructive name and description, choose the owner of the report and select MS Office files as the type of your report.

Then Select the type of your file out of Word, Excel and Powerpoint and depending on how you access this file (file location) select one of the following:

  • External URL: If your file is available on the web you can select this and copy the url of the file in the field External URL.
  • Sharepoint Embedded Code: If your file is available on Sharepoint you can use the embedded code option and paste the code in the Sharepoint Embedded Code area.
  • Upload File: If you want to upload a file that you host somewhere else click on Open Files and select one of the existing MS Office files or click on Upload File to upload a new one. Once uploaded, click on the insert image next to the file name for the MS Office file to be added.

You can give access to certain groups from the Permissions tab.

When you are done, click Add Report from the top-right corner for your report to be added to the Portal. Then go to either a new page or modify an existing one. and open the visual builder. Drag the Axxio Report to the position that you want to place it and double-click on the report that you’ve created. Your Google File has been added to your portal!

How can I add an image report?

Go to Reports tab from the top menu and click on the + sign of Reports.

From the Report Settings give your report an instructive name and description, choose the owner of the report and select Image Report as the type of your report.

Then Select the Image that you want to upload. Click on Open Images and select one of the images that are there or upload a new image by clicking Upload File. To add the file click on the insert icon next to the relevant image.

You can give access to certain groups from the Permissions tab.

When you are done, click Add Report from the top-right corner for your report to be added to the Portal. Then go to either a new page or modify an existing one. and open the visual builder. Drag the Axxio Report to the position that you want to place it and double-click on the report that you’ve created. Your Google File has been added to your portal!

How can I add a PDF?

Go to Reports tab from the top menu and click on the + sign of Reports.

From the Report Settings give your report an instructive name and description, choose the owner of the report and select PDF Report as the type of your report.

Then Select if you want the PDF to take the full screen and if you want it to be viewed Portrait or as a 2-page report. If you want to zoom it in or out change the Scale to something else than 100.

To upload your PDF click on Open Files and select one of the existing files or click on Upload File to upload a new one. Once uploaded, click on the insert image next to the file name for the PDF to be added.

You can give access to certain groups from the Permissions tab.

When you are done, click Add Report from the top-right corner for your report to be added to the Portal. Then go to either a new page or modify an existing one. and open the visual builder. Drag the Axxio Report to the position that you want to place it and double-click on the report that you’ve created. Your PDF has been added to your portal!

How can I delete a page on Axxio Portal?

How can I add an image or a video to Axxio Portal?

When you create a new page or you modify an existing one using Visual Builder, drag Axxio Media tool into the page. Then you select a new file to upload or you select one of the files that you have already uploaded. By double clicking on the media, it is entered on the Page.

My Tableau Server does not have Sites. What do I put in Site field when adding the integration?

If you are using the default Site, you should enter # in the field Tableau Site.

What is the purpose of the folders?

You can create folders to group you pages by categories. Then, you can have folders appearing on the left-hand side navigation menu with relevant Category names and the navigation between pages and reports will be much easier.

Can I restrict a page for some users?

You can create a group (link on how to create a group here) with all the users that you do not want to view the page. Then go to Page tab and click the pen under edit/view of the page that you want to restrict, to edit its permissions.

Add the group that you want and edit the view option to Denied.

You can also do the vice-versa and add the users that you want to view the Page into a group and in the Permissions set the view option to Granted.

Click Save to save the changes.

Can I group pages together in the navigation menu?

Yes, you can group relevant pages together by adding them to a folder. In the navigation menu, you can click on the folder for these pages to appear.

Can I control who sees navigation menu items?

By changing the permissions of the Pages, Reports and Folders you modify what appears on the navigation menu items of a specific user, depending on what groups he/she belongs to. For example if you deny permissions to a folder that you have on your sidebar to a user, he/she won’t view it when accessing the Portal.

How do I configure Tableau Server for SSO via Trusted Ticket?

You should add the Axxio Portal IP as a trusted IP. Contact AXXIO to get this IP address.

To add this you should go to your TSM (port 8850), go to Configuration tab and click User Identity & Access. Then click Trusted Authentication. Here, you should enter the Axxio Portal IP that you obtained from Axxio.  In case you are using a Linux Machine and you use the command line you should run the command

tsm authentication trusted configure -th “<IP ADDRESS>” tsm pending-changes apply

If you are using an older version of Tableau Server which does not support TSM, you can run the following commands

tabadmin set wgserver.trusted_hosts “<IP ADDRESS>”

tabadmin config

tabadmin restart

Is there a minimum number of Licenses that I should purchase?

No, Axxio Portal offers flexibility in the number of Licenses that you purchase. The only thing that applies is that your Axxio Portal Licenses should always be bigger or equal than any of the other Licenses.

Are licenses billed annually?

No, Axxio Portal Licenses are billed daily. Thus, it allows you to change the number of licenses every day, based on your needs, without any penalties. The payment is made at the end of each month. You can check your invoice for each month under Billing in the Settings tab.

Can I control who sees what?

Yes, you can set the permissions for every Page and Report so if you want to deny access to certain people you can do that.

To do that you first need to add users into groups. Then go to the Pages or Reports tab (depending on on what you want to control access to). Find the Page or Report that you want to modify and click the Edit button next to it.

Go to Permissions tab and add the group that you’d like to have access/deny access from the Page or Report. On the second column (view options) give one of the actions that you’d like Granted/Denied or Unset.

Can I customize portal to look like part of my Organisation’s website?

Yes, Axxio Portal is fully customizable. You can change the logo on the top-left corner and the colours of it.

Does Axxio Portal work with Tableau Server and Tableau Online?

Yes, Axxio Portal works with both Tableau Server and Tableau Online.

Is Axxio Portal restricted to only one Tableau Instance? What if I have both Tableau Online and Tableau Server?

No, you can add as many instances as you’d like on Axxio Portal. Also, if you have more than one site, you can add all of them as different instances in Axxio Portal.

What browsers are supported?

You can access Axxio Portal via Google Chrome, Firefox, Safari and Internet Explorer.

I have my own web-developers. Can I change the code of my portal?

At the moment, this is currently not an option. However, if you require something that you think it is essential for your organisation, we can discuss it with our web-developer and decide if we can add it.
